Getting Started

How to Apply

Begin by submitting a partner application through your HealthHaven dashboard. You will need to provide your property address, ownership or lease documentation, and a brief description of the lodging you plan to offer. Applications are typically reviewed within 3 to 5 business days.

Verification Process

Once your application is submitted, the HealthHaven verification team will review your property details. This includes confirming ownership records, checking local licensing requirements, and scheduling a virtual or in-person walkthrough to ensure the property meets recovery-lodging standards.

Required Documentation

  • Government-issued ID for the property owner or authorized representative
  • Proof of property ownership or a valid lease agreement with subletting permissions
  • Current homeowners or landlord insurance policy
  • Local short-term rental permits or hospitality licenses (if applicable)
  • Signed HealthHaven Partner Agreement

Property Standards

All properties listed on HealthHaven must meet baseline safety and comfort requirements. This includes working smoke and carbon monoxide detectors, secure locks on all entry points, clean and well-maintained living spaces, functional heating and cooling, and reliable hot water. Properties within one mile of a hospital or medical center receive priority placement in search results.

Listing Your Property

Creating Your Listing

From the Partner Dashboard, select "Create New Listing" and follow the guided steps. You will enter the property name, location, number of bedrooms and bathrooms, maximum guest capacity, and a detailed description highlighting what makes your property suitable for recovery stays.

Photos

Upload at least 8 high-quality photos showing the exterior, each bedroom, bathrooms, kitchen, common areas, and any outdoor spaces. Photos should be well-lit, uncluttered, and taken in landscape orientation. Listings with 12 or more photos receive significantly higher booking rates.

Amenities Checklist

Select all amenities that apply to your property from the standard checklist. Common amenities include Wi-Fi, in-unit laundry, free parking, a fully equipped kitchen, and wheelchair-accessible entrances. Be thorough, as guests frequently filter search results by specific amenities.

Recovery-Specific Features

HealthHaven guests often have unique needs related to medical recovery. Highlight any of the following features your property offers:

  • ADA Accessibility — Step-free entry, widened doorways, grab bars in bathrooms, roll-in showers
  • Medication-Safe Refrigerator — A separate fridge that guests may use for temperature-sensitive personal items
  • Quiet Recovery Rooms — Bedrooms with blackout curtains, sound insulation, and adjustable beds
  • Hospital Proximity — Walking distance or a short drive to the nearest medical facility
  • Ground-Floor Access — No stairs required to reach the sleeping area and primary bathroom

Managing Bookings

Accepting and Declining Requests

When a guest submits a booking request, you will receive an email and a dashboard notification. You have 24 hours to accept or decline the request. Accepting confirms the reservation and sends the guest a confirmation with check-in details. If you need to decline, select a reason from the provided list so HealthHaven can help the guest find an alternative property.

Calendar Management

Keep your availability calendar up to date to avoid double bookings and last-minute cancellations. You can block specific dates, set minimum and maximum stay lengths, and sync your HealthHaven calendar with external calendar services via iCal export. Properties with accurate calendars rank higher in search results.

Check-In Procedures

You can choose between self check-in (lockbox or smart lock code) or in-person greeting. For recovery guests, we recommend providing written check-in instructions with clear directions, door codes, Wi-Fi passwords, and emergency contact information. Ensure instructions are available in a printed format at the property as well.

Guest Communication

All guest communication should go through the HealthHaven messaging system to keep records centralized and protected. Respond to guest messages within 4 hours during daytime hours when possible. Guests recovering from medical procedures may have time-sensitive needs, so prompt communication helps maintain high satisfaction scores.

Pricing & Payouts

Setting Your Rates

Set a nightly base rate for your property from the Pricing tab in your dashboard. You can also configure weekly and monthly discount rates to attract longer recovery stays. HealthHaven provides market comparison data so you can price competitively relative to similar properties in your area.

Seasonal Pricing

Use the seasonal pricing tool to adjust rates for peak and off-peak periods. You can create custom rate periods tied to specific date ranges or let the smart pricing engine suggest adjustments based on local demand, hospital admission patterns, and competitor rates.

Payout Schedule

Payouts are processed 24 hours after a guest completes check-in. Funds are deposited to your linked bank account within 3 to 5 business days, depending on your financial institution. You can view your payout history and upcoming payments in the Financials section of your dashboard.

Payment Processing

HealthHaven handles all payment processing, including credit card charges and refunds. The platform charges a service fee on each completed booking, which is deducted from your payout. Your net earnings are clearly displayed for each transaction in your dashboard.

Tax Documentation

At the end of each calendar year, HealthHaven generates a 1099-K form for partners who meet the IRS reporting threshold. You can download tax summaries and individual transaction records from the Financials section at any time. Consult with your tax advisor regarding local occupancy tax obligations.

Quality Standards

HealthHaven Verification Badges

Properties that pass verification earn the HealthHaven Verified badge, which is displayed prominently on your listing. Additional badges are available for properties that meet advanced criteria, including "Recovery Ready" for listings with documented accessibility features and recovery-friendly amenities, and "Top Rated" for properties that maintain a 4.8 or higher average guest rating over 10 or more stays.

Guest Reviews

After each stay, guests are invited to leave a review covering cleanliness, accuracy, communication, check-in experience, and recovery suitability. You can respond publicly to reviews from your dashboard. Thoughtful responses to feedback demonstrate your commitment to guest satisfaction and can positively influence future bookings.

Maintaining Your Rating

Partners are expected to maintain a minimum average rating of 4.0 across all categories. If your rating drops below this threshold, HealthHaven will provide specific guidance on areas for improvement and a 90-day period to bring your scores back up. Consistent low ratings may result in listing suspension.

Re-Certification

HealthHaven verification is renewed annually. You will receive a notification 30 days before your certification expires with instructions for renewal. The re-certification process includes an updated property walkthrough and a review of your guest feedback history to ensure ongoing compliance with platform standards.

Partner Dashboard

Dashboard Overview

The Partner Dashboard is your central hub for managing every aspect of your HealthHaven listings. From the main screen, you can see upcoming reservations, pending booking requests, recent guest messages, and a snapshot of your monthly earnings. Use the sidebar navigation to access individual sections.

Analytics

The Analytics tab provides detailed insights into your property's performance. Track metrics including listing views, booking conversion rate, average nightly rate, occupancy percentage, and guest satisfaction scores over customizable date ranges. Compare performance across multiple listings if you manage more than one property.

Revenue Reports

Generate detailed revenue reports by date range, property, or booking source. Reports include gross booking revenue, platform fees, net payouts, and tax withholding summaries. Export reports in CSV or PDF format for your accounting records. Monthly and annual summary reports are also available for download.
